I think we got ourselves an Unofficial weekend set for Maxus 2007......it's going to be on the weekend of June 22nd to the 24th. The set schedule has to be determined, of course to early to say. As soon as we have a location set to have the National meet, im gonna start making phone calls around that area for deals for people to stay.

The main thing you guys need to be working on right now are schedules for the event sites and etc.
things you need to plan:
1. hotel
2. Host and site for car show (local Nissan dealer preffered.. let them buy us lunch and they get tons of free advertising in return)
3. events: meet & greet type of event for the evening, track event of some sort (hopefully to include road course and drag), dyno event, and of course the car show.
the tracks will start to fill up 6-8 months ahead of time, so now is the time to be finding tracks you want to run at and get confirmation on the dates you want.. then you'll of course need to throw money at them. PREPAY IS A MUST. that keeps people from flaking at the last minute and the organizers being out thousands of dollars.
I would also suggest that someone with a bit of business/corporate savvy do a bit of footwork and create a non-profit organization (Maxima Club of America or something else equally lame) and then you can put this stuff on a corporate bank account and take it out of the hands of a single person.
That will take some legwork to get set up and a concrete list of people/officers in charge of things, but it's the way things really need to be done if we're going to be holding large events like this. Insurance and etc is a must for these things if you're acting as a club (which we are)

Location is in the works right now, talking to a local Nissan dealership, Countryside Nissan, to see if they could sponsor our event. They have a large parkinglot in the rear of the dealership which should definantly fit well over 300+ cars from the looks of it. But this doesn't necessarly mean that it is going to be at this location, its just a location that might be in the works. This is just an update to keep you guys informed that we are not lalagagging this event. As soon as we find a location, we are gonna start looking for hotel accomidation deals.

That is subjective at best. IL is much further from TX, yet those of us from TX who attended MAXUS 2005 & 2006 are willing to make the drive next year. So, in other words you are relatively close.

I would recommend setting the hotel last. We need to decide the schedule first, i.e. what is going to happen where. Although I live local for Maxus 2006, I was very disappointed at the hotel location since it was not near any of the events. Had I known there would be an issue earlier, I would had helped with the arrangements. Since we are looking at having the drag day in one location, a track day in another and the car show someplace else; Let's figure out the when and where first. If there is a single location that is good to use a single hotel the entire time, then great. I don't believe this will be the case. I believe we may find it better to have a different hotel Friday versus Saturday. My .02.

I'm working on a dyno day for MAXUS.... but when talking to the shops they wanna know how many cars we are going to have. How many cars usually attend these events ? I don't wanna say 100 cars (doubt we could even dyno so many) and have 40 cars show up, we have atleast 20-30 Chicagoland Maximas who would dyno.

As far as the hotel goes... about a month out,... we had to change locations... and in the beginning of the summer you gotta take what you can get as far as hotels go. A month from the event, Matt had to change locations, and we did the best we could with the time we had. I was told to find a place the in a certain location,... and that was done. My .02

What do you guys think on this schedule, I am wondering if this would work, considering a lot of you might have to go home on Sunday. I want the majority of the people that go feel happy that they went. Since my reputation is on the line.
June 22nd - June 24th
Friday 22nd - Dragstrip at GLD (WI) at night racing from 6 pm to 11pm, we will be sharing the track with Test and Tune, to keep entry fee down.
Saturday 23rd - Autox/Road Course (location TBD)
Sunday 24th - Carshow/Meet (location TBD)

That would be nice, more than likely it would be a lucheon for early arriving people at a restaurant of some sort, or the lucheon at the hotel eatting area.
Almost forgot to add maybe a dynoday somewhere but eventually we will figure out that exact what we will be doing on what day.

Looks good to me, but dump the auto X IMO. I'd rather pay $100 for 1 hour at high speed on the track than to pay $25 for 4 minutes in 2nd gear thrashing cones.
Also note that most Auto X groups will only help out if you have ~100 cars to show, and if you show up to a regularly scheduled event with 30 or more people, they throw a hissy fit as well because it kills their scheduling.
Most track days are designed for 20-50 cars and pretty much the entire facility is catered to the group/club so we'll have the entire place to ourselves for the most part (unless we invite other clubs, like the local Z clubs or SE-R guys or whatever. I highly suggest doing just that in order to meet the minimum required number for the track day. It'll be hard to do without inviting someone else to come as well.)
If we're lucky, the track facility will have a dyno shop on hand like MSR-Cresson did this year. That got everyone out there whether doing the dyno or road course events.. Several people that went just for the dyno said they'd do the track event next year because of it- people like that would probably have never shown up and enjoyed had it not been for the concurrent dyno event in the same place.
etc etc etc.
Just a couple things I've learned from scheduling the track events.
For the dyno... If you want concrete numbers, get a set price and get PRE PAID FOR THE RUNS. then you can hand the shop a check for x amount of dyno runs and a list of names and approximate times they'll be there. this keeps you from telling the shop "I'll have 40 people show up" and only 8 end up showing. That's what happens 75% of the time with events like these. You can count on only 35% of the people actually showing up and paying for it over who says they'll be there.
Do the same for the track event. get schedules, costs, and dates 'firmly set' by the track and dyno shops and then start taking money for them. when you have money in hand, send them a single check for the event, which will seal the date in. That way people KNOW the event will go on and the shop has money before anyone gets there and isn't left sticking their balls in the wind.

We have a pending location to have the meet/carshow/dyno. Its going to be near Ohare airport. I just hope it has the facilities to keep everyone comfortable, such as seating area with shade, BBQ area, and washrooms.
